Job Description:

Summary: Repair, maintain and support AV equipment . Holistic management of conference guest & business services for all conference spaces/rooms within facility. This includes event coordination, set up, booking, and furniture management of Multi-Purpose conference rooms. Troubleshoot equipment and assist clients with conducting meetings in a fast paced environment. Operate AV equipment such as Cameras, Wireless Microphones, Mixers, Integrated Room Systems, etc.

Essential Functions and Responsibilities:


AV Services:



  • Management and upkeep of all audio visual equipment in managed spaces

  • General Floor Conference Rooms support and maintenance

  • Multi-Purpose room operations, support and maintenance

  • Training Room operations, support and maintenance

  • Phone Rooms

  • Open Meeting spaces

  • Validation of outside room calendar displays to ensure they are populating the correct meeting information.

  • Update client marketing (i.e. posters, digital signage monitors) with content as required and requested via facilities services center.

  • Content will be provided and approved by MS before uploading.

  • Maintain a database of serviced locations and equipment.

  • This data base will include inventory and preventive maintenance records.

  • Maintain a detailed record of service calls (immediate trouble calls vs. pre-planned requests for assistance). Determine upgrades based on analysis of trouble calls.

  • Lifecycle Planning for capital assets / projects

  • Maintain detailed customer satisfaction data

  • Multiple platforms used to define SLA (Post Event Survey, FSC, NSAT)

  • Provide Conference room guideline consulting on new construction and upgrade projects

  • Provided by Compass AV Regional Manager as needed

  • Conduct preventative maintenance and escalate non AV related requests to the appropriate service groups (see Preventative Maintenance section)

  • Monthly cadence for Preventative Maintenance

  • Weekly room walk through

  • Daily Customer Room walk through and documentation

  • Escalate and track non-AV service requests through established service providers

  • Partnership with FSC for facilities based room escalations

  • Remote Assistance from Redmond based MSAV Service Desk – as applicable

  • Coordination of additional rental equipment outside basic equipment

  • Ensure proper display of demos and computers in appropriate formats and resolutions

  • Audio & Microphones

  • Batteries are fully charged

  • Assist with power strips and extension cords for event set-up

  • Attend pre & post conference meetings with Event Owner and Event Manager to determine Audio Visual requirements


Event Services Include:



  • Management of events for the Multipurpose Rooms, General Floor Conference Rooms and all other meeting spaces (Customer facing, VIP, and Private rooms).

  • Daily review of the next day’s events in all conference rooms (Customer and Employee) to validate bookings. If customer rooms are not being occupied, release room for others to use.

  • Focus on all day bookings for confirmations.

  • Manage holistic meeting experience:

  • Set up furniture in MPR’s (Classroom, POD, Theater, etc.) as required

  • Ensure cleanliness of room, and all other necessary tasks.

  • Assist Facilities coordinator/manager when necessary

  • Management of conference calendar and daily email and phone requests. Ability to place conference functions in properly sized rooms to maximize space utilization.

  • Working with clients from the pre-conference planning process through post-conference billing.

  • Prepare and follow through with conference project timelines for each booking ensuring all details are covered.

  • Providing guidance and acting as a resource for conference planning team and other vendors on site.

  • Providing seamless management of events with high touch customer service.

  • Communicating last minute changes and requests to team, confirm with the client and update event order.

  • Handling issues as they arise through the proper administrative channels.

  • Following protocol during emergency situations.

  • Working with all departments and vendors to ensure all aspects of each function are covered.

  • Staying informed with industry standards and share information with conference planning team members and customers.

  • Maintaining a clean and safe work environment; performs job safely.

  • Coordination of necessary support for producer-directed shows

  • Coordination of IT support for events, including appropriate network access for presenters and wireless access for attendees

  • Set up rehearsals with client on VIP and complex productions.




Qualifications:


Technical Expertise Required:



  • Knowledge of IT networking, wired and wireless internet access, etc.

  • Knowledge of Microsoft Windows 8 and Office software.

  • Knowledge of collaborative AV systems and software including VTC, Lync, Streaming, etc.

  • Ability to use AV diagnostic equipment.

  • Technical proficiency with video, audio, and projection equipment.

  • Knowledge of Crestron gear a plus.
